Reports To: Country Director Alpine
This is what you will do:
The Alpine (Switzerland & Austria) Team Coordinator will support the local country director and the cross-functional teams (commercial, Medical, Access,…) by providing a broad administrative and operational support including general administration, invoices management, finance tracking, coordination of larger meetings, procurement tasks, contracting, and orders.
The Country Team Coordinator will be key in efficiently delivering the operations of our Alpine organization and will be involved across multiple areas of the business.
You will be responsible for:
- Plan, arrange and coordinate larger meetings including logistics, catering and equipment needs as required
- Procurement – Preparation of Purchase Orders in SAP, tracking status of requisitions, contracts, and orders
- Invoicing: Vendor onboarding, PO creation, approval process, contracting, OPEX control
- Support the management of specific projects and initiatives
- Responsible for local onboarding/offboarding activity
- Act as the first point of contact for general external enquiries and correspondence
- Budget tracking and finance follow-up for Alpine OPEX budget
- Active participation and collaboration in core team meetings in order to ensure efficient meetings and follow ups.
- Supports Country Director in the follow up of the country Scorecards and expense reporting
- Responsible for incoming/outgoing correspondence, including mail collection and distribution
- Alexion Alpine fleet management support
You will need to have:
- Excellent administrative and organizational skills and ability to handle changing priorities
- Fluent in English and German, both written and spoken
- Learning agility, proactivity and autonomy
- Good working knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Strong communication skills
- Pragmatic, cando mentality and operationally oriented
- Customer focus mindset
- Sense of ethics and responsibility
