Distribution Manager is responsible for the Logistics operation in Vietnam, warehousing and distribution.

Seamless distribution operations to deliver customer orders, with the right quality, quantity, and cost targets.

Lead and develop the Vietnam Distribution team.

Manage all relevant steps regarding to the process of warehouse and logistics.  Monitor product flows from AZ manufacturing sites to AZ Vietnam Warehouse.  Responsible of the supply to local wholesales of AZ Vietnam.

Ensure excellent supply performance to local wholesalers in Vietnam, with right inventory and optimum efficiency. To provide excellent support to AZ Vietnam to enable them to achieve their commercial objectives, by supporting change & improvement activities to warehouse & logistics, product range & design, information flows & processes, and any other opportunities for Operations to work in partnership with AZ Vietnam stakeholders.

Manage and escalate the supply shipment service deviation. Manage the stock movements processed by AZ Vietnam, and ensure the business operations are executed in line with the agreements and agreed standard procedures through daily operation information tracking from system interface.

Lead local Distribution projects, such as warehouse move, IT integration, RFPs, etc.

Keep good communication relationship with internal and external stakeholders, to improve service performance and satisfaction.

Job Responsibilities

Technical:

  • Manage Logistics & Customer Service processes performed by Logistics staff
  • Identify service providers performance gaps and improve the result
  • Manage the Sales order process and stock movement processed by Logistics warehouse
  • Reconcile and monitor the logistics / warehouse cost
  • Support the execution of product lifecycle plans (e.g. launches, range rationalisation)
  • Oversee quality and compliance for the warehousing and distribution scope

Operations:

  • Monitor Logistics activities:
  • Primary Distribution (inbound/Goods receipt process) from AZ manufacturing site to AZ Vietnam warehouse
  • AZ Vietnam Warehouse Operation
  • Manage supply of products to local wholesalers
  • Ensure local wholesalers receive goods delivery to agreed timelines
  • End product awareness re orders, back orders, new products
  • Information interface for sales order to cash
  • Ensure commercial and other activities are as per the AZ commercial Policy
  • Receives orders from local whosalers and oversees order collection
  • Purchase-to-pay Operations
    • Monitor the stock movement according system interface
    • Pack conversion for redressing
    • Manage all stock related tasks, (write off, stock take, audit etc.)
    • Reconcile monthly ending stock balance between SAP system and distribution service provider’s system, driving the variance / gap closure
    • Process purchase to pay activities
    • Reconcile stock balance on monthly basis
    • Record and manage supply logistics complaints

Improvements:

  • Execute and develop Logistics and warehouse strategies to be aligned with AZ business requirements
  • Continuously develop and maintain warehouse capacity, performance, and productivity in achieving supply performance efficiently at an optimum cost. Ensure that warehouse, equipment’s, facilities and system comply with GMP, SHE and other requirements
  • Work with the Demand & Commercial teams to meet agreed requirements
  • Manage 3PL distribution service providers to ensure the provision of contractual services meet customer requirements
  • Ensure KPI reporting is completed as per agreed timelines and drive service gap closure
  • Follow up CAPA with service providers, to enhance performance
  • Represent local distribution in Continuous improvement / best practice sharing forums

Cost Management:

  • Monitor warehouse and logistics monthly cost and find the root cause for the variances comparing with budget
  • Propose annual budgets to line manager

Engagement and simplification:

  • Proactive support for any supply related project and initiatives.
  • Ensure sufficiently trained resources with adequate product and process knowledge for execution of GMP/GDP obligations and on-going professional development to maintain proficiency.

Leadership:

  • Manage and coach local Distribution team
  • Develop Distribution team
  • Identify and foster talent

  • Work in a manner promoting the safety and well-being of self, others and environment to 3PL distribution service providers
  • Participate in AZ SHE initiatives e.g. recycling and waste reduction
  • Proactively identify SHE hazards and take appropriate action

GMP/ Compliance and Ethical Conduct

  • Ensuring compliance of self to internal and external regulations
  • Understand the legal and regulatory requirements of the role in providing appropriate resources (which could be human, financial, material, facilities, and equipment) to maintain the Quality system and continually improve its effectiveness
  • Comply with all systems, processes and procedures in line with statutory/ legislative/ quality requirements
  • Conduct all activities in accordance with AstraZeneca Code of Conduct and all relevant compliance codes and regulations
  • Ensure and monitor compliance by team members and third parties by (a) positively reinforcing the Code of Conduct and all relevant AstraZeneca Policies and Standards, (b) ensuring completion of all required training, (c) fostering a culture of openness in which employees are comfortable raising questions or concerns, and (d) immediately
