Introduction to role

The Associate Director, Global Medical Operations Capabilities & External Funding is responsible for the oversight and continuous improvement of operational hubs within Medical Operations, ensuring effective execution. Key operational hubs include contracting, financial management, process management, dashboards, and performance management. This role ensures the effective execution of resources supporting delivery within these hubs, which is critical for Medical Affairs’ successful tactical delivery. Additionally, this role oversees external funding processes within Medical Affairs and coordinates with cross-functional partners on strategic projects. The role requires multitasking across various initiatives while delivering on core projects and interacting with senior stakeholders within and outside of Global Medical Affairs.

Accountabilities

• Oversight of contracting and accrual processes and execution, including continuous improvement and training

• Oversight and continuous improvement of planning and budget management tools, dashboards, and reports, collaborating with Business Operations stakeholders to align on and meet needs

• Ownership and execution regarding external funding processes within Medical Affairs, including but not limited to:

  • Full lifecycle management of incoming grants in Cybergrants & providing support as needed on other types of External Funding requests including Sponsorships

  • Ensuring completeness of all incoming grant applications and the timely transition of applications into the review process

  • Ensuring accurate and up-to-date stakeholder lists for efficient review processes

  • Leading triaging of inquiries and applications to appropriate stakeholders for decisions

  • Ensuring timely receipt of executed LOAs prior to the program start date, and accurate and timely distribution of grant payments and appropriate documentation

  • Collaborating cross-functionally with Compliance and AZ Grants teams to mitigate compliance risks associated with medical education grant activities and sponsorships: maintain all documentation in grant files within system, generate ad hoc reports and data searches for internal customers, provide grants data to compliance to meet government reporting requirements, maintain file archives

• Managing multiple projects/initiatives simultaneously, ensuring all deliverables are completed within agreed-upon timeframes

• Maintaining a high-level network of contacts within the organization

Essential Skills/Experience

• Bachelor’s degree required
• 5-10 years of proven experience
• Proven ability to implement projects of strategic importance
• Experience/ability to work in a matrix cross-functional environment, both onsite and remotely
• Excellent interpersonal skills with demonstrated track record and ability to drive results as an effective team member and project leader
• Exercises foresight and judgment in making complex decisions. Acts independently with good judgment when needed
• Excellent communication skills both written and verbal
• Ability to professionally interact with all levels of the organization
• Strong business acumen, analysis, problem-solving, and leadership skills
• Excellent problem-solving, organizational, and negotiating skills
• Flexibility, the ability to adapt to changing project scope and direction; particularly as projects require critical thinking and solutions
• Must demonstrate energy and enthusiasm which brings a positive approach to all challenges
• High ethics and integrity standards; ability to maintain confidentiality with sensitive information
• The duties of this role are generally conducted in an office environment. As is typical of an office-based role, employees must be able, with or without accommodation to: use a computer; engage in communications via phone, video, and electronic messaging; engage in problem-solving and non-linear thought, analysis, and dialogue; collaborate with others; maintain general availability during standard business hours

Desirable Skills/Experience

• Relevant advanced degree (e.g., MD, PhD, MBA) preferred
