Role Summary:

You will provide support to senior managers and provide broader department support to several managers. Manage project activities, budgets, and reporting. Represent managers in responses. Maintain documentation.

Additional Day to Day Responsibilities:

  • Responds on behalf of the managers to various collaborators while upholding high professional standards and addressing diverse needs
  • Accesses the email account of senior managers to schedule their appointments and answer or redirect routine inquiries from internal or external sources
  •  Accurately transcribes, types, formats and proof reads a wide variety of material (for example correspondence, invoices, contracts, meeting minutes, reports, speeches and presentations) using word processing, presentation, graphics and spreadsheet software
  • Provides specialist project based administrative support when required
  • Coordinates internal and external meetings / conferences so that they run smoothly, including meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available
  • Performs other administrative tasks using independent judgment and discretion
  • Prepares documents, presentation materials and official information releases and distributes to necessary collaborators
  • Coaches and mentors less experienced admin staff to help resolve issues
  • Plans, organizes and schedules own workload through system maintenance so that all activities are completed accurately and on time
  • Completes dashboards, activity tracker and keeps them updated in a proper format
  • Establishes budget tracking, consolidates budget information from different sources, flags overspend, or underspends vs planned budget
  • Works in coordination with other admin for cross functional projects and is the admin point of contact for Global Payer Evidence & Pricing (GPEP) in Gaithersburg
  • Manages the internal SharePoint sites in terms of access, structure and updates

Requirements:

  • 5+ years’ experience supporting senior and/or executive leaders
  • Two-year Associate Degree or proven equivalent experience
  • Able to communicate effectively with ease and confidence, both written and verbal
  • Keen understanding of professional and diplomatic interpersonal skills
  • With an eye for detail, manage multiple projects/tasks simultaneously and effectively
  • Has general knowledge of working globally within a variety of cultures
  • Forward looking, results oriented, focused thinker and proactive
  • Flexible with a 'can-do' attitude
  • Responsive, not reactive, using own initiative
  • Self-developer and learner
  • Demonstrated intermediate to advanced PC skills and ability including Microsoft Office and other customized industry applications, e.g. SharePoint and Box
  • Be reliable in handling confidential information
  • Previous or current budget management experience

The annual base pay for this position ranges from $ 64,240 - $ $96,361. Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience.  In addition, our positions offer a short-term incentive bonus opportunity and eligibility to participate in our equity-based long-term incentive program Benefits offered included a qualified retirement program [401(k) plan]; paid vacation and holidays; paid leaves; and, health benefits including medical, prescription drug, dental, and vision coverage in accordance with the terms and conditions of the applicable plans. Additional details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, employee will be in an “at-will position” and the Company reserves the right to modify base pay (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors ​.
